The Position: Receptionist – Office Assistant - PartTime
Supports the various functions of reception and front desk and other departments, as assigned. Friendly, courteous and professional team player. Scheduled to work Monday – Friday 10:00 AM – 2:00 PM for a total of 20 hours per week. Able to provide coverage for full-time Receptionist, when needed.
Essential Functions:
• Monitor front door access and greet all entrants in a timely manner.
• Answers switchboard, routes calls to intended recipient quickly and efficiently. Maintains and updates organizational phone lists.
• Familiar with general organizational information and calendar of upcoming visits and events.
• Open, sort and distribute mail to campus buildings.
• Assist with acknowledgement letter processing and mailing.
• Assure that deliveries received are communicated to intended recipient as delivered and removed from main lobby. Follow up as necessary.
• Organizes and maintains work room so that supplies can be obtained easily and stored properly.
• Familiar with work room machines for light maintenance of copier, fax, postage mailing machine, etc. Assists staff with questions on operation of equipment. Schedules related supply and service orders.
• Assists with shipping materials for conventions, speaking engagements and staff needs.
• Answers/directs requests from website for additional information. Directs the info@emails to the appropriate staff member.
• Assists with special events and functions as needed.
• Always aware of safety rules and procedures, ensuring that the functions of this job are done in the safest possible manner and encourages co-workers and volunteers to do the same.
• Assists other departments with special projects, as needed.
Essential Requirements:
• Minimum 2 years college; 4 years office experience.
• Demonstrated capacity for organization, prioritization and efficiency in a dynamic and fast paced environment.• Positive and personable customer service skills to professionally interact with public/staff/volunteers that are in house or call or email.
• Excellent office skills and proficiency with Excel, MS Word, Outlook, Teams, Zoom, as well as most general office equipment.
Physical Demands:
• The employee is required to stand, walk, push, pull, reach overhead and bend to the floor, travel between campus buildings and floors, lift 25 pounds, and exert up to 20 pounds of force occasionally
Visual Acuity
Near acuity and accommodation are required for the ability to see and read text and copy of written materials of all office equipment and machinery and service providers. Ability to read computer screens for data entry.
Hearing Ability
Ability to interact with staff and the public in a professional manner.
Work Environment
The employee is exposed to office, kennel and residence environment. This includes animal hair and dander and cleaning and antibacterial cleaning solutions.
Compensation Information:
The rate of pay for this position is $17.50 per hour.
